Our client is seeking a Senior Trust Officer to take direct administrative responsibility for a complex portfolio of trusts, companies, and other wealth structures. In this role, you will ensure the delivery of first-class service to beneficiaries, clients, and intermediaries, while supporting line management. You will work closely with colleagues to identify and mitigate risks across the portfolio, aiming to maintain high standards of client service.
Job Duties:
- Attend to clients' needs promptly and professionally, ensuring knowledge and control over the assets and activities of entities administered.
- Manage a varied portfolio of trusts, companies, foundations, and other entities, keeping data up-to-date and relevant.
- Prepare minutes, resolutions, and other related documents, including payments and distributions, for review by management and directors.
- Provide support and supervision to team members, delegating tasks and monitoring their completion.
- Attend client meetings as required, preparing documentation for the meeting, and filing notes and action lists.
- Prepare documentation for changes in client circumstances (e.g., changes to registered office, shareholders, directors, or secretaries).
- File documents in accordance with established procedures.
- Advise managers of deficiencies in statutory records and work to resolve any arising issues.
- Liaise with accounts clerks to ensure proper maintenance of accounting records and the preparation of annual accounts.
- Manage action points raised by periodic reviews in a timely manner, using a risk-based approach.
- Observe and enforce internal control policies and statutory guidelines.
- Collaborate with other departments to facilitate the delivery of administration services to clients.
- Raise client bills according to policies and procedures, and follow up on receivables.
- Review WIP regularly with line management to discuss work outside the scope of fee arrangements and assist in raising additional fee invoices as needed.
- Maintain a good understanding of local regulations and compliance requirements.
- Assist in the training and development of junior team members.
- Foster relationships with intermediaries to expand the corporate network and enhance the business's reputation.
- Support management and directors with new business opportunities.
- Contribute to other projects and duties as required.
Job Requirements:
- Experience in the trust services industry or similar regulated business.
- Solid experience in trust and company administration.
- Strong knowledge of Jersey trust and company legislation, including Anti-Money Laundering laws and orders.
- High attention to detail and ability to work efficiently.
- Strong organisational and time management skills, with the ability to meet deadlines.
- Proficiency in Microsoft Office applications; training provided for in-house systems such as Jobstream, Metastorm, and Virtual Cabinet.
