Our client is seeking a Senior Administrator to join their Fund Services team on a permanent, full-time basis in Jersey. This position involves delivering high-quality company secretarial support to a portfolio of fund clients, ensuring compliance with statutory and regulatory obligations and corporate governance best practices. You will be responsible for supporting board processes, general meetings, and entity maintenance across multiple jurisdictions. Job Duties:
- Provide company secretarial services to a portfolio of fund clients, including preparation of board meeting documentation and accurate minute-taking
- Liaise with board members and relevant stakeholders on company secretarial matters
- Ensure adherence to corporate governance standards and statutory requirements
- Coordinate the preparation, circulation, and dispatch of board packs in conjunction with administration teams
- Draft notices, proxies, and related materials for general meetings, liaising with legal advisers as necessary
- Ensure timely dispatch and collation of proxies, coordinating with administration teams or external registrars to meet quorum requirements
- Make stock exchange announcements as required
- Maintain statutory records and ensure databases and document management systems are updated in line with procedures
- Perform statutory and regulatory filings and ensure timely payment of relevant fees
- Assist with company secretarial aspects of new client onboarding and fund launches
- Maintain meeting planners, calendars, and internal tracking systems
- Support the formation of corporate entities and limited partnerships across various jurisdictions
- Provide other related support services as required
Job Requirements:
- 2-5 years' experience in an administrative role with company secretarial responsibilities
- ICSA/CGI, STEP, or equivalent qualification (or studying towards one) would be an advantage
- Good understanding of statutory and governance obligations for fund structures
- Proven ability to draft accurate and concise meeting minutes
- Comfortable working under pressure and to tight deadlines
- Proficient in Microsoft Office, especially Word, Excel, Outlook, and Adobe
- Experience with board software such as Board Intelligence or Virtual Boardroom is desirable
- Strong organisational skills and attention to detail
- Excellent verbal and written communication skills
- Ability to work independently and as part of a team
- Proactive and client-focused approach
