Our client is seeking a Customer Service Representative to join their Jersey Administration Team. This role involves acting as the first point of contact for visitors and callers, and undertaking various administrative tasks as identified by the Accounts Manager and Jersey Managing Director. Job Duties:
- Operate the switchboard between 8:45 and 17:00, receiving and transferring calls, and taking brief messages as necessary.
- Greet and welcome visitors to the office with a polite and professional service.
- Provide logistical support for meetings held in the Board and Meeting Rooms, including the preparation and arrangement of catering and refreshments.
- Liaise and correspond directly with clients and stakeholders.
- Answer queries related to current and potential customers within the qualification scope.
- Ensure clients' best interests are maintained in line with Policies and Procedures.
- Maintain a tidy and presentable reception area.
- Perform general administrative duties and update Group databases, including change of address notifications and updating bank details.
- Attend training programmes and engage in personal study to develop relevant knowledge, techniques, and skills.
- Comply with legislation and Policies and Procedures at all times.
- Undertake additional duties as requested by the Board or Directors to ensure the effective functioning of all Group areas.
- Process and deliver internal and external mail daily.
- Order office supplies (stationery and kitchen) and maintain adequate stocks.
- Support the Guernsey office with managing flights, taxis, and hotel bookings if required.
- Process general administrative documentation, including filing, scanning, and copying CDD documents as directed.
- Process customer payments and reconcile daily payments and bank accordingly.
- Issue all documentation in a timely and accurate manner.
Job Requirements:
- Minimum of C' in GCSE English and Maths or equivalent.
- Enthusiastic with a willingness to learn.
- Strong customer service attitude.
- Proficient in MS Office.
- Excellent interpersonal skills with the ability to handle enquiries at all levels.
- Self-motivated with good organisational skills and the ability to prioritise workloads.
- Excellent written and verbal communication skills.
- Resourceful and proactive in resolving issues.
- Positive attitude and professional appearance when representing the business.
- Previous experience working as a Receptionist or Administrator is desirable.
