Our client is seeking a highly organised and proactive Business Support Assistant to join their Jersey office on a permanent, full-time basis (35 hours per week, Monday to Friday). Working as part of a centralised team, this role will provide high-level administrative assistance to two board-level directors and the wider senior management team. The successful candidate will play a vital role in delivering seamless support across business development, operational logistics, and internal projects, with service excellence at the heart of all activities.
Job Duties:
- Manage calendars, schedule meetings, and coordinate logistics for events and calls
- Prepare, proof-read, and distribute presentations, reports, agendas, and correspondence
- Coordinate travel arrangements and itineraries
- Act as a liaison between internal teams and external stakeholders
- Assist with project-based work and team initiatives
- Attend and record action points for management and team meetings
- Support directors with timesheet completion and expense processing
- Assist with financial and new business reporting
- Organise logistics for client and business development meetings
- Maintain and update the CRM system (Salesforce) and track new business pipelines
- Contribute to new business proposals and pitch materials
- Assist with internal and external event planning
- Provide support to internal committees such as CSR, social, and D&I groups
- Ensure adherence to internal procedures and maintain up-to-date electronic filing
Job Requirements:
- Previous experience supporting senior leadership in a similar role
- Strong organisational and planning skills with the ability to prioritise workload independently
- High level of discretion and ability to manage confidential information
- Strong interpersonal, communication, and networking skills
- Experience using CRM systems (e.g. Salesforce) and Microsoft Office, particularly PowerPoint
- Knowledge of working across different time zones and coordinating international schedules
- Flexible and adaptable team player with a proactive, solutions-oriented mindset
- Interest in business development and commercial activities
- Ability to organise small client events and entertainment
- Strong academic background with excellent attention to detail
